Mentis Redaction Exclude Document - COURTS
Mentis will fail if the documents submitted are over a specific size; an end user will submit a service ticket to report the issue. The latest instance was two documents that were both 950+ pages.
This will cause redactions to stop loading images into the ai program.
When a user reports the issue, they should report it with the document's Page count and case number. They should also report the ‘dociden’ or external tracking if possible. “IT” should not make assumptions about the document; court staff should always validate the document before any changes are made by “IT”. Courts staff should also be the ones to remove the docket process and/or set the document to VOR(on Demand). Most of the steps below can and should be performed by the end-user and department management through the applications. If, for some reason, that is not possible, “IT” can perform the updates as necessary with proper documentation.
To circumvent :

Revert any checked-out documents(to be done by court staff/management, There is also a job that will automatically revert checked-out documents at the end of the day)
- This can be done through the ai program (using Microsoft Browser)--> http://tailgate.hernandoclerk.org/aiREMOTE
- Tools > Modify Documents > Design Query > Create a design Filter.
- The best filters to find the documents you want are by ID(dociden), if you have it, or the Page count. If you must use the page count, validate the page count and case number, typically on the document's first page. Perform this validation with court staff.
- The ID = the dociden in the [dbo.].[mdoc] table.

You can find the dociden/ID as the external tracking id in Clericus by opening the case > docket tab > locate docket entry > double click or click update docket > locate docket entry and click “docket process” > on the docket entry. You will see the external tacking. Once completed by court staff and courts management skip to step “2.”
- To ensure the document is not re-sent to Mentis from Clericus, get with staff to remove the docket process and set the document as ondemand/VOR (View on Request). Any redactions, in this case, will be processed manually through Clericus

- Once you have your filter selected, run the query (GO) and verify that the documents you are looking to modify are returned.
- Highlight the results > Document Operation > Revert Checkout > Execute

You can verify that the document is no longer checked out by the following query :

Now that the item is not locked Run the following query to exclude the document from being processed by Mentis :
- UPDATE [ai_Prod_Environment_Court].[dbo].[MDoc]
SET rStatus = -1400
WHERE dociden = 'insert dociden here' and rStatus = 'insert existing rStatus here'
- Verify your results with the same query from Step 1.B.d, looking at the rStatus field.
